Scope of This Policy

This Privacy Policy applies to personal data collected through animicura.com, including information submitted through the Contact form and subsequent professional correspondence arising from an enquiry.

It does not govern personal data processed under a separate judicial, clinical, employment, consulting or institutional mandate. Where necessary, additional confidentiality, contractual or data-protection information will be provided for those specific activities.

This Privacy Policy is intended to address the requirements of the EU General Data Protection Regulation (GDPR) and applicable Belgian data protection law where relevant. Where the processing concerns individuals residing in the Kingdom of Saudi Arabia or activities conducted through the Saudi branch, the Saudi Personal Data Protection Law (PDPL) and its Implementing Regulations may also apply.

The Contact form is not intended for the submission of clinical files, judicial documents, medical records, emergency information or other highly sensitive personal data.

How Contact-Form Enquiries Are Handled

Valid Contact-form submissions are transmitted through a secure server-side email workflow to contact@animicura.com.

The website is not designed to store Contact-form messages in its application database. Limited technical or delivery logs may nevertheless be generated temporarily by infrastructure and email-service providers for security, troubleshooting and message delivery.

The Reply-To function uses the email address provided by the sender so that Animi Cura can respond directly to the enquiry.

Why We Use Personal Data

For enquiries submitted by individuals concerning services for themselves, processing may be necessary to take steps at the individual's request before entering into a contract. For enquiries submitted on behalf of an organisation, or for general professional correspondence, processing is based on Animi Cura's legitimate interest in managing and responding to professional enquiries.

Where the Saudi PDPL applies, personal data is processed on a lawful basis permitted under the PDPL and its Implementing Regulations.

Because Animi Cura works in psychologically, judicially and institutionally sensitive contexts, visitors are asked to provide only the minimum information necessary for an initial enquiry.

Do not submit clinical records, judicial documents, medical information, information concerning children, allegations against identifiable individuals or other sensitive case material through the public Contact form.

Where an enquiry requires the exchange of sensitive information, an appropriate and more secure communication channel may be arranged after initial contact.

If sensitive information is submitted without being requested, Animi Cura will limit its use to what is necessary to understand, redirect or securely manage the enquiry and may delete information that is not required.

Who May Receive Personal Data?

Personal data is accessible only where necessary and may be shared with:

  • website hosting, cloud-infrastructure and email-delivery providers supporting animicura.com;
  • Google Workspace, used for professional email;

  • public authorities, courts or regulators where disclosure is legally required.

Animi Cura does not sell personal data. Service providers are permitted to process personal data only for the services they provide and subject to applicable contractual and data-protection obligations.

International Processing

Animi Cura operates internationally, including in Belgium and the Kingdom of Saudi Arabia. Some technical service providers may process information in countries outside the European Economic Area.

Where the GDPR applies and personal data is transferred outside the European Economic Area, Animi Cura relies on an applicable legal transfer mechanism, such as an adequacy decision, Standard Contractual Clauses or another safeguard recognized under data-protection law.

Information may also be accessed in connection with a mandate involving the Kingdom of Saudi Arabia or another jurisdiction where this is necessary, proportionate and transparent to the person or institution concerned.

Where personal data is transferred from the Kingdom of Saudi Arabia, such transfers will be handled in accordance with the Saudi Personal Data Protection Law and its Implementing Regulations, including any applicable requirements and safeguards relating to transfers of personal data outside the Kingdom.

How Long We Keep Personal Data

Contact enquiries that do not lead to a professional relationship are generally retained for no longer than 12 months after the last meaningful communication, unless a shorter or longer period is justified by the nature of the enquiry or a legal requirement.

Where an enquiry develops into a contractual, judicial, clinical or institutional mandate, relevant information may be retained for the duration of the mandate and afterwards for the period required by applicable legal, contractual, accounting, insurance or professional obligations.

Technical security and delivery logs are retained only for the period reasonably necessary for security, troubleshooting and operational purposes, subject to the retention settings of the relevant service provider.

Data that is no longer required is deleted, anonymized or securely archived where continued retention is legally necessary.

Animi Cura applies reasonable technical and organizational safeguards appropriate to the nature and sensitivity of the information processed.
